Reconciliation

Updated

Once a payout is paid, Payclose checks it on the network: it reads each transaction’s receipt and compares the transfers in it with the approved lines. The receipt on the chain is the source of truth, not Safe{Wallet}, not your wallet, and not Payclose’s own records.

What is checked

  • Only transfers from the payout’s wallet count: the Safe, or your regular wallet.
  • Each line needs a transfer of its token to its approved address, for its exact amount.
  • One transfer pays one line, so two identical lines need two identical transfers.
  • For a Safe, the receipt must show that the Safe executed this payout’s Safe transaction. The hash of any other transaction is refused.

When it’s checked

Every 5 minutes, Payclose checks the payouts that are waiting on the network. An owner’s or editor’s open payout page also checks by itself about every half minute, and at once when you come back to the tab; for approvers it follows the 5-minute checks. Owners and editors can select Check now in Next step to check at once.

For a Safe batch proposed from Payclose, Payclose learns about the execution from the Safe Transaction Service. For a payment made outside Payclose, it checks the transaction hash you paste.

Confirmations

Payclose compares the lines only once the transaction is final enough on its network:

Network Waits for
Ethereum, Sepolia the block to be finalized, usually about 15 minutes
Base, Base Sepolia 32 blocks
Arbitrum One, Arbitrum Sepolia 64 blocks

Meanwhile, Next step shows how far it got, for example “Executed, waiting for confirmations (16 of 32)” or “Executed, waiting for finality on Ethereum”.

Statuses

A checked transaction ends up matched, unexpected or failed. The app says it in words:

  • Reconciled (matched). Every line was paid exactly as approved, and the transaction moved nothing else from the wallet. A Safe transaction then reads “Reconciled, every line paid”.
  • Differences (unexpected). A line wasn’t paid as approved, or the transaction moved tokens that no line expected: the Safe transaction reads “Executed with differences”, a regular wallet’s “Paid with differences”. The payout stays open with the differences on record, Next step lists the lines not paid and the unexpected transfers, and the owners get an email.
  • Failed. Nothing was paid: the transaction reverted, another transaction took the Safe’s nonce, a regular wallet’s transaction wasn’t confirmed within 24 hours, or it paid none of the lines. A Safe payout goes back to Signing, a regular wallet’s lines go back to To pay, and the owners get an email.

In the Lines tab, each line is then marked paid, with a link to the block explorer, or not paid; a regular wallet’s line that’s on its way shows sent.

The Safe transaction panel of a reconciled payout: Status Reconciled, every line paid; the Treasury Safe on Base, Safe 1.4.1; nonce 6; signed by Anna K. with her wallet; the executed and reconciled times; the Safe transaction hash and the transaction hash, each with Copy, and View on basescan.org; and the fingerprint, sent as version 1.
The Transaction tab of a reconciled Safe payout: the record of who signed, when it ran, and its hashes.

The Transaction tab, or Transactions for a regular wallet, keeps the record: the wallet, who signed and when, the hashes with links to the block explorer, and what happened to each line.

The reconciliation CSV

Once the check is done, reconciled or with differences, Download reconciliation CSV in the Transaction tab (Transactions for a regular wallet) gives your accountant one row per approved line, plus a row for each transfer that no line expected. Next step offers the same file once the payout is reconciled. The columns:

  • line_index, recipient_id: the line in the approved version, and the recipient’s Payclose id.
  • address, token, token_contract: where the transfer went, in which token.
  • amount, amount_base: the amount in tokens, such as 3200.00, and in the token’s smallest units.
  • status: matched, missing, unexpected or pending.
  • tx_hash, log_index: the transaction, and the transfer inside it.
  • safe_tx_hash, safe, network: the Safe transaction hash (empty for a regular wallet), the paying wallet’s address, and the network.
  • period, version, fingerprint: the payout’s label, and the version that was approved.
  • executed_at: when the transaction was executed.

The file is named after the payout, its version and its fingerprint, such as reconciliation-2026-07-v1-bc6d2aff.csv. Recipients appear by their Payclose id, not by name.
