Payouts
Updated
A payout is one run of payments from one company wallet, usually a month’s: its lines say who gets how much of which token. It goes from a draft, through approval, to paid and reconciled, and Payclose keeps what was sent, approved and paid at every step.
Create a payout
On Payouts, owners and editors select New payout:
- Label: the month as YYYY-MM, or any name up to 40 characters. It starts as the month after your newest payout.
- Wallet: the company wallet it’s paid from.
- Copy lines from: your newest payout, another one, or Start empty. Recipients and amounts are copied; invoices start empty.
Select Create payout, and the payout opens as a draft.
A copied line takes the recipient’s approved address on the wallet’s network as it is today, if it’s past its 24-hour pause; otherwise the line starts without an address. An address that changed since the copied payout shows up as a change. Archived recipients are left out. Copy from a payout on the same network as the wallet you pick: Payclose won’t copy lines paid in tokens of another network, so for a wallet on a new network, start empty.
The payout page
At the top are the steps a payout goes through, with who did each one and when:
- From a Safe: Draft, Approval, Signing, In the Safe queue, Executed, Reconciled.
- From a regular wallet: Draft, Approval, Paying, Confirming, Reconciled.
Next step, beside the lines (above them on a narrow screen), says which step the payout is at, who it waits for and the one thing to do now, with the total, the number of lines and the wallet. The tabs hold the Lines, the Approvals with every version that was sent, and, once the payout is paid, the Transaction of a Safe or the Transactions of a regular wallet.
Edit the lines
While the payout is a draft, owners and editors edit the Lines tab in place:
- Change a line’s amount and token, its Invoice reference and its Note.
- Pick the recipient’s address on the payout’s network. A line without one says so: add an address on the recipient’s page.
- Add someone with Add line at the foot of the table: choose the recipient and enter the amount. A recipient can have one line per token.
- Remove a line.
Rename changes the label while the payout is a draft. An owner can delete a draft that was never sent for approval with Delete payout, under Next step.
Import a CSV
To start from a spreadsheet, select Import CSV under Next step (drafts only). The file is read in your browser, and only the matched lines are sent to Payclose.
- File: choose a CSV file with a header row, or paste its text. Tab- and semicolon-separated files work too. It needs the recipient, the address and the amount; the email, currency, network and invoice are optional. A spreadsheet file (.xlsx) isn’t read: save it as CSV first. Select Check the columns.
- Columns: check the columns Payclose guessed from the header row, then select Match the rows.
- Matching: rows match recipients by email, then by name. A row without a match creates a new recipient, and an address that isn’t on file is proposed like any new address: someone else approves it, and it waits out the 24-hour pause before it can be paid. Untick Create recipient or Propose on a row to leave that out. Pick the Token for rows without a currency. Rows on another network, in a currency that network doesn’t have, or without an amount are skipped, and each one says why.
- Select Replace lines with and the number of rows. Payclose creates the recipients and proposes the addresses that are ticked, then replaces all the payout’s lines at once, up to 500. If that last step fails, the lines stay as they were.
A file like this one imports as it is; add email, network and invoice columns if you have them:

Review what changed
Payclose reviews the draft as you edit it. The line above the table compares it with the previous payout, for example “Compared with 2026-08: 1 added, 1 removed, 2 changed, 5 with a new invoice only; 2 findings need attention.” Each line shows what changed: + added, − removed, ~ changed, with old values struck through next to the new ones, a changed address with its differing groups marked, and the findings noted under the line. All lines, Changes only and With issues filter the table.
The findings come in three kinds.
Fix before sending
These keep Send for approval off. Next step lists them, each one a link to its line.
- No address: the recipient has no address on the payout’s network.
- Address not approved: the address is proposed and waits for approval.
- Address not usable: the address is in its 24-hour pause, or it was revoked.
- Zero amount.
- Listed twice: the same recipient twice for one token.
- Contract on another network: the address is a contract on another network and has no code on this one, so tokens sent to it could be lost.
- Invalid address or Wrong network: the address doesn’t fit the payout’s network.
- Token no longer supported: the line pays USDT on Base, which Payclose no longer offers (see Networks and tokens). Pick another token for the line.
Warnings
Check each one, then tick I’ve checked the 2 warnings (with your count) next to the button.
- Look-alike address: see the address checks.
- Shared address: another line pays the same address.
- No invoice: the line has no invoice reference.
- Unusual amount: more than 50% up or down from the recipient’s line in the previous payout, or more than three times this payout’s median amount in that token, when at least three lines use it.
Notes
Nothing to confirm.
- No checksum: the address is all in one case.
- Contract address: the address holds contract code on this network; make sure it can receive tokens.
- Check unavailable: the network couldn’t be read to look for contract code.
Send for approval
When nothing blocks it, owners and editors send the payout from Next step:
- Optionally, select Add a note for approvers and say what changed this month and why.
- If there are warnings, tick I’ve checked the 2 warnings.
- Select Send for approval.
Payclose freezes the lines as a version and gives it a fingerprint: the first 8 characters of the hash of its lines. Every owner and approver except you gets an email with the totals, every changed address in full and the fingerprint, and the payout moves to Approval. See Approvals and roles.
From then on the lines can’t change. To change them, Reopen the payout: it returns to a draft, its approvals no longer apply, and sending it again creates a new version with a new fingerprint.
If nobody could approve what you send, Send for approval stays off and Next step says why: see when nobody can approve.
