Getting started

Updated

This guide takes you from your first visit to an organization that is ready for its first payout: an account, the setup checklist, a passkey for approvals, and the rest of your team.

Sign up and sign in

Payclose has no passwords. It signs you in with a link it emails you, and the same form creates your account the first time.

  1. Open run.payclose.app.
  2. Enter your work email under Email.
  3. Wait for the security check under the field to pass. It’s a Cloudflare check against automated sign-ups; if it shows a checkbox, tick it.
  4. Select Send me a link.
  5. Open the email from Payclose and select the link. It works for 15 minutes and only once.

Open the link in the browser you want to use Payclose in: that’s the browser it signs in. You stay signed in there for up to 30 days. Sign out is in the menu under your name at the top right.

If the email doesn’t come, see the sign-in email doesn’t arrive.

Create your organization

After your first sign-in, Payclose asks for your organization: the company or team that pays contractors. Enter the Organization name and select Create organization. You become its owner.

If someone invited you, there’s nothing to create: signing in takes you into their organization.

The name is shown to your team and in Payclose’s emails, and you can rename it in Settings → Organization. To add another organization later, open the menu under your name and select New organization. Once you belong to more than one, switch between them with the organization’s name at the top of the page.

The setup checklist

Your organization opens on Overview. Until the setup is done, a Setup panel lists the steps, and each one is done right there:

  1. Add your passkey: it signs your approvals on this device. See add a passkey, below.
  2. Add the company wallet: the Safe or regular wallet your payouts are paid from. Owners add it; see Wallets.
  3. Add recipients: the people you pay, each with an approved payout address. Open Recipients takes you there; see Recipients and address changes.
  4. Create the first payout: a payout for the current month, paid from your wallet. You add its lines next; see Payouts.

The fifth step, Invite a second approver, is optional: alone, you approve your own work, and a second member makes it four-eyes.

Needs you, next to it, lists what waits on you: the setup steps first, then the payouts and addresses that wait for your approval, your signature or your payment. Editors don’t see the passkey step, because editors never approve.

Add a passkey

Payclose asks for a passkey when you approve a payout: Touch ID, Face ID, Windows Hello, your phone or a security key. Owners and approvers need one; editors don’t.

  1. In the Setup panel, or in Settings → Security under Passkeys, type a Label that tells your devices apart, such as “MacBook” or “YubiKey”.
  2. Select Add a passkey and confirm in your browser’s prompt.

The private part of a passkey stays on your device. Payclose keeps only the public part, so it can check your approvals but can’t make one. You get an email whenever a passkey is added to your account or removed from it.

Note. Changing your passkeys needs a recent sign-in. If you signed in more than 10 minutes ago, Payclose asks you to confirm with a passkey you already have; for your first passkey, it asks you to Sign in again. Sign in with a new link, then add the passkey right away.

A passkey synced by your password manager or your phone works on your other devices too; a security key, or a passkey kept on one device only, works where it is. The list in Settings → Security shows which kind each one is.

Invite your team

Owners invite people in Settings → Members:

  1. Select Invite member.
  2. Enter their Email and pick a Role.
  3. Select Send invitation.

They get a sign-in link by email, and their seat shows as Invited until they sign in. The invitation link works for 7 days; after that they can sign in at run.payclose.app with the same email, and signing in accepts the invitation.

  • Owner runs the organization: members, wallets, the approval rule and the activity log. Owners also prepare payouts and approve them.
  • Editor prepares the work: adds recipients and proposes their addresses, drafts payouts, sends them for approval, and pays them once they’re approved. Editors never approve.
  • Approver checks the work: approves new addresses, and approves payouts with a passkey. Approvers change nothing else.

Change someone’s role, or remove them, in the same table. An organization always keeps at least one owner. Approvals and roles explains who may approve what.

Find your way around

  • Overview: Needs you, the latest payouts, the payout in progress and, for owners, the recent activity.
  • Payouts: every payout, and New payout. The number beside it counts the payouts waiting for you.
  • Recipients: the people you pay and their addresses. The number counts the addresses waiting for your approval.
  • Activity (owners): every change, who made it and when.
  • Settings: Organization, Wallets, Members and Security.
  • Send feedback: a problem, an idea or a question, straight to us. See Feedback and support.
